Standard operating procedures software may not sound glamorous, but it’s one of the most powerful tools for keeping a business running smoothly. Without SOP documentation, daily operations are left vulnerable to confusion, inconsistency, and wasted time.
The challenge? Writing and maintaining standard operating procedures (SOPs) is tedious. Too often, they’re outdated, inconsistent, or buried in shared drives no one opens.
At C5 Insight, we solved this challenge by:
- Leveraging Copilot to write our SOPs
- Creating an SOP Portal in our modern SharePoint intranet to easily manage and centralize SOP documentation.
In this blog, we define the purpose of SOPs, share the benefits of SOPs, and outline how we use Copilot to write SOPs and SharePoint as our standard operating procedures software.
What Is the Purpose of Standard Operating Procedures (SOPs)?
At their core, standard operating procedures are documented, step-by-step instructions that define how routine tasks should be performed. They’re the blueprint for operational consistency, ensuring employees know exactly what to do and how to do it.
Simply put, the purpose of an SOP is to document internal knowledge, so tasks are performed consistently across the organization. Here are some common scenarios where SOPs prove their value:
- Employee turnover: When someone leaves, their replacement can quickly step in without disruption.
- Quality control: Teams follow the same documented process, reducing errors and ensuring consistent results.
- Onboarding new hires: SOP documentation gives employees guidance from day one, shortening ramp-up time.
- Compliance audits: Auditors can easily verify that documented processes meet regulatory requirements.
- Cross-team handoffs: Standardized steps make it easier for work to transition smoothly between departments.
When managed well, SOPs enable efficiency and scalability without sacrificing quality or compliance. Left outdated or scattered across folders, however, they shift from being an asset to becoming a liability.
5 Benefits of Standard Operating Procedures
SOPs aren’t busywork. Done right, they’re playbooks that impact every corner of the business, and ultimately, the bottom line.
1. Increases Productivity
Well-documented processes eliminate confusion and wasted time, allowing employees to focus on working, not wondering. While documenting SOPs may seem time-consuming at first, they ultimately streamline operations, enable delegation, and make continuous improvement easier.
2. Mitigates Operational Risk
SOPs reduce risk by defining the right way to perform tasks, clarifying complex activities, and ensuring quality checks are repeatable and accountable. McKinsey reports that a financial institution reduced the cost of poor-quality outcomes by 30% and rework by 60% after investing in operational excellence supported by technology.
3. Ensures Compliance
As regulations tighten across industries, organizations that fail to comply risk fines, penalties, and reputational damage. SOPs make compliance easier by documenting how regulations are met, simplifying audits, and preserving institutional knowledge when employees leave.
4. Creates consistency
SOPs ensure that tasks are performed the same way every time, regardless of who’s doing the work. This consistency results in predictable outcomes, smoother cross-team handoffs, and stronger customer trust in the reliability of your products and services.
5. Expedites Employee onboarding
HR standard operating procedures serve as a lifeline for new employees during onboarding and as they learn the ropes. SOPs make onboarding a rinse-and-repeat process for HR, providing new hires with structured guidance from day one and increasing their confidence and autonomy.
You may recognize the benefits of SOPs but still be unwilling to invest the time in them. We get it. That’s why we turned to technology, using AI to write standard operating procedures and SharePoint to manage them.
Microsoft Copilot: The Best AI for Writing Standard Operating Procedures
For organizations using the Microsoft suite, Copilot is the best AI tool for SOP writing because it can securely tap into internal data.
How to Use AI for SOP Writing
- Create an SOP Template: To ensure consistency across SOP documentation, we outlined a simple standard operating procedures format with three key sections: Purpose, Policy, and Procedure.
- Prompt Copilot: Copilot is our go-to AI tool for SOP writing. We describe the SOP’s purpose, intended audience, and the 3-part standard operating procedures format we wanted Copilot to follow.
- Let AI Write: Copilot generates a complete draft of the SOP, using industry standards, on-brand language from our internal documents, and Microsoft best practices sourced from the web.
- Review & Refine: Don’t copy/paste Copilot responses as-is. We add organizational context, apply internal governance practices, and ensure it’s clear and actionable for our teams.
Copilot also helped us think more critically about our SOPs.
For example, when drafting a policy on change management, Copilot surfaced references to governance frameworks we hadn’t considered. That prompted us to revisit our own internal standards and strengthen them.
SharePoint: The Best Standard Operating Procedures Software
To take the process a step further, we built a custom SOP Portal in SharePoint to organize, create, and track our SOPs. We named our library of SOPs LUCKopedia.
How to Manage SOPs in a Custom SharePoint SOP Library

New SOPs can be easily added to the LUCKopedia Library using a templatized page. We paste the SOP Copilot helped us write into the appropriate dropdown section:
- Purpose
- Policy
- Procedure
Our SOPs are categorized by metadata, like department (e.g., HR) and type (e.g., Performance Management) for easy searchability.
When you’re inside an SOP page, SharePoint also lists “Other items in [Department]” in the sidebar, so you can easily navigate to other relevant SOPs in that category.

We further built out our SOP Portal by building automations that remind SOP owners to review their procedures regularly. SharePoint versioning ensures every update made to an SOP page creates a new iteration, keeping prior versions accessible.
By leveraging AI to write standard operating procedures and SharePoint to manage them, our SOPs became a living, strategic resource that employees can easily find, follow, create, and trust.
